HAJEX FIT (hajexfit.com and its apps) is run by HAJEX Inc., based in Montreal, Quebec. This policy explains what personal information we collect, why, who we share it with and the choices you have. It applies to the website, the apps and the trainer request form.

Who is responsible

The person in charge of the protection of personal information at HAJEX Inc. is its Director. You can reach them at support@hajex.com for any question, request or complaint about your personal information.

What we collect

• Account details: your name, email address, password (stored scrambled so no one can read it) and, if you give it, your phone number.
• Preferences: your language, weight units, colour theme and weekly workout goal.
• Training data: the workouts you plan, the exercises you add, and the sets, repetitions, weights and notes you log.
• Body data, if you choose to log it: your height, weight, goal weight, body fat, measurements, resting heart rate, sleep, stress and progress photos. Only you can see it; trainers and other members can't. Progress photos are kept in a private folder and are never shown publicly.
• Trainer requests: what you write in the "get matched with a trainer" form, such as your goal, city, preferred format and budget.
• Sign in with Google or Apple: if you use it, we receive your name, email address and an account number from that service. We never see your Google or Apple password.
• Technical information: your IP address, sign-in times and basic browser information, which our servers record for security.

Why we use it

• To run your account and show your workouts, history and settings.
• To match you with a trainer, only when you send a request and agree to it.
• To keep accounts safe, prevent abuse and fix problems.
• To reply when you contact us.
• To send training tips and HAJEX offers, only if you ticked the box to receive them. Every email has a way to stop.

Your training and body data can say something about your health and fitness. We use it only to provide HAJEX FIT to you. We do not sell personal information and we do not use it for advertising profiles.

Who we share it with

• Service providers that run parts of HAJEX FIT for us, such as web hosting and email delivery. They may only use the information to provide their service to us.
• Trainers, only for a trainer request you sent and agreed to share. We tell you who the trainer is before sharing more.
• Authorities, when the law requires it.

Information stored outside Quebec

Our hosting provider's servers may be located outside Quebec, including in the United States. Before using a provider, we check that it protects personal information to a standard that is adequate under Quebec law.

Cookies

We use a small number of cookies:

• Essential cookies keep you signed in and protect forms against misuse. The site cannot work without them.
• Preference cookies (hf_theme and hf_palette) remember the colours you picked.

We do not use advertising cookies or analytics today. If we add analytics, we will ask for your consent first.

How long we keep it

• Account, preferences and training data: while your account is open. When you delete your account in Settings, we delete them.
• Sign-in and security records: up to 12 months.
• Trainer requests: up to 24 months, or sooner if you ask.

Your rights

You can ask to see the personal information we hold about you, have it corrected, receive a copy in a common format, or withdraw your consent. You can delete your account and its data yourself at any time in Settings. To make any other request, email support@hajex.com. We answer within 30 days.

If you are not satisfied with our answer, you can complain to the Commission d'accès à l'information du Québec.

How we protect it

All traffic to HAJEX FIT is encrypted (HTTPS), passwords are stored scrambled, and only authorized staff can access member data. If a confidentiality incident could cause you serious harm, we will tell you and the Commission d'accès à l'information.

Children

HAJEX FIT is meant for people aged 14 and over. We do not knowingly collect information from children under 14.

Changes

We will post any change to this policy on this page with a new date. If a change is significant, we will also tell you by email or in the app.
